Information Management and IT Support Specialist

Our Business Area supplies aluminum profiles and profile-based solutions in various applications ranging from windows and furniture to cars and cruise ships. Within Extruded Solutions, we have business area staff functions based in Oslo, but we also have four core business units; Extrusion Europe, Extrusion North America, Building Systems and Precision Tubing.

 


Job Location: Rosemont, IL

 

Summary: This newly created position has responsibility for the records management and information governance compliance program for Extrusion North America. In addition, this position has responsibility for providing IT support for ENA’s Rosemont office. In addition to centrally managing the existing records management program, the position will help transform the program to the next level of maturity, in collaboration with IT and Legal.  The position reports functionally (solid line) to the Manager, IT Support Americas (Global Business Services), and administratively (dotted line) to the Vice President and Lead Legal Counsel - North America.

 

The position may require travel (estimated to be 10%) and will be based out of the ENA Rosemont, IL business unit HQ office. 

 

Job Responsibilities:

  • Drive and support a robust records management and information governance compliance program covering the maintenance and disposition of records in accordance with internal policies, legal and contractual requirements, and business needs.  Activities include:
    • implementing activities across multiple related initiatives
    • designing and reporting on a key performance indicator (KPI) system
    • addressing the varying aspects of hard copy, data/system/app and in-place records
    • providing guidance on day to day questions
    • executing effective training and change management plans
    • building and maintaining relationships with multiple stakeholders
    • controlling program costs, including managing a third party consultant
    • managing program issues, as well as risk and program scope change
    • supporting the ENA locations in managing offsite records storage facilities.
  • Responsible for general onsite IT support of the Rosemont, IL location. IT support responsibilities include:
    • Staging and support of laptops & desktops (PCs)
    • Support local phone system, video conferencing hardware and cell phone devices
    • Troubleshooting & resolution of user’s IT issues
    • Collaboration with regional and global IT teams
    • Adherence to Global Business Services (GBS) policies and procedures
  • Analyze existing data sources and locations, both paper and electronic, and develop a strategy to strengthen and improve the management and governance of data, whether through in-place records management, an enterprise content management solution, and/or a hybrid solution.
  • Coordinate with the regional (and global if needed) IT and Legal teams to adopt technology solutions and other leading methods to comply with legal requirements, including the legal hold process and data privacy best practices.
  • Conduct a regular assessment of the information and records management program to identify process improvements and to develop enhancements to increase records processing efficiency and reduce risk.

 

 

Job Requirements:

  • Knowledge of the full life cycle of records management, information governance principles and best practices, and data protection and security concepts.
  • A high level of comfort with information technology as it relates to records and information management.
  • Excellent analytical, organizational, project management, problem-solving and communication skills; superior leadership and interpersonal skills.
  • Proven success developing, deploying and maintaining innovative processes/methodologies/technologies for records and information management.
  • Superior awareness and understanding of IT, legal and compliance issues associated with data management. 
  • Good level of IT support knowledge, along with familiarity with basic networking concepts
  • 8+ years of experience in the records and information management field, particularly with respect to electronic records.  
  • 2+ years of experience in IT technical support.
  • Experience with Microsoft 0365 environment, including SharePoint preferred.

 

Education and Work Requirements:

  • Bachelor’s degree in Records Management, Library Science, Information Management, or Business Administration, or equivalent experience in similar roles.
  • Paralegal, information governance, and/or records management certification, as well as MBA and/or master’s degree in related fields of study, a plus.
