Customer Service Representative

Job Summary: Perform duties to support sales activities and documentation for assigned territory to provide quality sales and service to customers, working within the limits of standard or accepted practice.

Required Education/Experience:

  • Excellent PC skills, especially word processing and spreadsheets
  • Strong verbal, written and interpersonal communications skills with an emphasis on negotiation skills
  • Strong mathematics skills
  • Ability to handle multiple tasks and prioritize effectively
  • Knowledge of process related standards
  • Proven ability to develop successful partnerships with internal and external team members.

 

 

Preferred Skills/Qualifications: 

  • AS Dynamics Software systems
  • Ability to think critically and theoretically

 

 

Job Responsibilities:

  • Respond to customer inquiries. Forward for evaluation and prepare and issue quote packages from data supplied by others, including pricing, die prints and other data. Research credit disputes and explain credit limitations or problems. Review customer inquiries for accuracy and apply information to specific purchase orders related to the inquiry. Prepare die orders for extruded products for review and authorization and investigate and communicate lead times.
  • Review customer purchase orders and releases for accuracy of information, communicate inaccuracies to Account Manager and enter purchase order, release or change order data into computerized order entry and processing system. Maintain Customer EDI systems as required to receive orders and to send ASN’s. (advanced shipping notices)
  • Generate reports and order acknowledgments, review for accuracy and issue to customers and Account Managers.  Monitor schedules and generate documents relating to product production and shipping schedules. Track and expedite orders and notify customers of shipping related data as requested. Maintain customer related files including acknowledgments, purchase orders, releases, invoices, complaints, correspondence and other similar data.
  • Respond to notification of customer complaints and follow up to enter new orders or credits as prescribed in response to complaint.
  • Prepare designated range of periodic or special charts and documentation relating to territorial sales.
