Job Summary: This Position is responsible for managing the front desk of Hydro Sidney plant. They will act as the gatekeeper for the office by greeting visitors entering the building, allow access to other employees, answer phones, transfer calls, schedule appointments, give directions and manage the flow of traffic in/out of the office.
Education Requirements:
- High School Diploma or GED equivalent
- Additional certification in Office Management is a plus
- Proficiency in Microsoft Office Suite
Job Requirements:
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Bilingual - English/Spanish/French is highly desired
- Hands-on experience with office equipment (e.g., fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Ability to be resourceful and proactive when issues arise
- Excellent organizational skills
- Multitasking and time-management skills, with the ability to prioritize tasks
- Customer service attitude
Job Responsibilities:
- Greet and welcome guests as soon as they arrive at the office
- Direct visitors to the appropriate person and office
- Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g., pens, forms, and brochures)
- Provide basic and accurate information in-person and via phone/email
- Receive, sort, and distribute daily mail/deliveries
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
- Order front office supplies and keep inventory of stock
- Arrange travel and accommodations, and arrange pick up food for internal meetings
- Keep updated records of office expenses and costs
- Perform other clerical receptionist duties such as filing, photocopying, transcribing
- Complete daily sales reports
- Complete scrap shipment billings
- Pull invoices for online vendor accounts
Health / Safety / Environment / Housekeeping:
- Abides by Hydro Extrusion company rules and policies and procedures.
- Understands that performing job tasks in a safe manner is the highest priority.
- Reports any unsafe condition or act immediately to Supervision or HSE Manager.
- Fills out ‘Near Miss’ paperwork on any unsafe condition or act.
- Understands company safety initiates and acts as facilitator on the floor to promote those initiatives.
- May be asked to participate in accident/incident reviews and develop corrective actions.
- Responsible for housekeeping and 5S in his or her respective area of work or areas as directed by the departmental supervisor
