Team Lead T&E and Procurement Services
Hydro Global Business Services (GBS) is an organizational area that operates as an internal service provider for the Hydro group. Its ultimate purpose is to deliver relevant IT, financial and HR business services to all business areas within the company.
Role purpose:
- The role will support departmental team members and management to deliver improved quality, speed and customer service across all transactional service offerings
- Act as a primary subject matter expert, works closely with customers, stakeholders, the GBS Finance Projects team and the departmental team to ensure quality service is delivered
- Take all necessary actions to resolve issues/request in a timely manner. Use learning outcomes to improve team training, process documentation and where necessary stakeholder knowledge
- Supports all procurement related topics, acts as a single point of account to all GBS departments and BA’s, working closely with Category Managers
- Provide operational support, guidance and leadership for the improvement of the quality and productivity of the T&E and Procurement Team
Responsibilities:
- Supervising, managing and motivating team members
- Monitoring the daily activities to ensure all service levels committed are met and exceeded
- Responsible for the Self-Assessment (SAT) and the T&E processes to provide compliance with corporate standards and risk elimination for GBS F Global Hub Hungary
- Meet ICFR, GDPR requirements, manage (any) segregation of duties (SOD) conflicts, and follow corporate processes
- Managing month-end closing process
- Maintain close cooperation with Hydro units, internal customers/travellers
- Consider country specific and fiscal requirements after new implementations
- Provide leadership for finding opportunities of standardizations and new T&E process developments.
- Prepare documentation about testing/result/progress and document conversions to fulfil audit requirements.
- Support all the necessary testing before new unit Go-Live
- Act as “Subject Matter Expert” (SME) for implementation projects, support CONCUR related (country/system) specific questions with expert guidance
- Work closely together with T&E team members Senior/Junior Accountants for collecting best practice ideas
- Drive the Travel Policy review(s) and update process – support with expert knowledge the policy establishment, periodical reviews.
- Work closely together with Master Data and Accounts Payable (and other) Process Champions (PC) to review the end-to-end processes in order to optimize them
- Act as a communication channel among: GBS F Projects and Operational Teams
- Drive quality improvement by reviewing ServiceNow tickets and identify training requirements. Liaise with management and team members to plan and deliver trainings
- Negotiate, select vendors, create purchasing orders in SAP, always focusing on TCO (total cost of ownership)
- Manage claims, handle disputes
- Run prequalification of suppliers
- Guarantee compliance in procurement processes
- Participate in developing P2P processes and procedures
- Ensure that the team reaches the targets set out in KPI’s for the year
- Setting and facilitating the achievement of department objectives
- Collaborate with internal customers / partners to create common targets and make sure procurement adds value to business partners
- Correspond with various other departments, discussing company plans and agreeing on future paths to be taken
Requirements:
- At least 3-5 years of experience within Finance, Procurement or similar areas
- College / University degree or similar in finance field
- Fluent in English is desired. Any other language is a plus
- Proficiency with SAP / S4 HANA accounting software
- CONCUR system/process knowledge – advanced configuration knowledge is a “must”
- Broad knowledge of relevant regulatory and mandatory procedures and qualifications
- Sound interpersonal skills with the ability to create an environment that delivers excellent customer service, inspiring change in people and work culture
- Strong skill set including decision making , problem solving ,time management ,planning analysis and organization
- Able to manage, guide and lead employees to ensure appropriate processes are being used
